ThermaFlow Heat Cancellation Policy

At ThermaFlow Heat Inc., we request all rescheduling be made in writing at least 72 Business Hours in advance Monday- Friday to avoid a rescheduling fee of $300. In the event the Customer wants to cancel instead of rescheduling the Customer is liable to make ThermaFlow Heat Inc. whole for the cancelation fee of $300 plus non-refundable deposit of 25% plus any prior forgiven rescheduling fee under the same Contract. Customer must make ThermFlow Heat Inc. whole before a new date can be chosen for reschedules.

No-shows or cancellations made within 24 hours of an appointment time will incur a $700 reschedule/cancelation fee (plus the deposit if the contract is canceled) and all forgiven prior rescheduling fees will be added to the invoice balance.

This policy allows us to efficiently manage our Crews’ schedules and ensure we can accommodate the needs of all our valued Clients. Since we only have one Service per day for a Truck it must be understood that the Staff member and the Truck is dedicated to You and so there for we need the same commitment in return from our Customers.

As we understand that emergencies arise, we will consider exceptions to this policy on a case-by-case basis. However, this exception will only be forgiven if the Contract remains active. If upon cancelation the Customer is liable for all forgiven cancelation fees plus loss of the deposit.

Customer must pay in advance of the treatment for each forgiven rescheduling event in order to bond the forgiven fee in the event of a cancelation at a later time.

Contacts under a single non repeating Treatment must be completed within 90 days of contact. If Customer request a date longer then 90 days ThermaFlow Heat Inc. may extend the 90 day limit to a later date. However customer can no longer cancel and contact must be paid in full for this exception. Single Treatment contacts over 90 days are non refundable.

Also in the event of cancelation the Customer is liable for all administration fees and credit card processing fees at a rate of 3.75% for the principal amount of refund.

All Contracts through ThermaFlow Inc. are subject to these terms whether a 1 time treatment or an ongoing contract.
